FAQs
Yes. Event Pros LA provides planning, design and production. We manage the concept, venue, budget and vendors, then coordinate the technical production, event schedule and on-site team. The scope is agreed around your event and the support you need.
It turns a plan into a working event: the environment guests walk into, the technical systems and the live running of the day. Event Pros LA combines that production work with planning, so the concept, venue, budget, vendors, AV and on-site team are coordinated by our team and specialist partners under one production plan.
The roles often overlap, and the scope varies by company. Planning commonly includes venues, budgets, schedules and vendor coordination. Production commonly includes the physical environment, technical systems and live execution. Event Pros LA brings both together under one lead producer. Compare the responsibilities included in the proposal, not the title alone.
Yes. You can hire Event Pros LA for a full event or a standalone service, including event design, venue sourcing and AV production. We agree what is included, what your team will manage and how we will work with any suppliers you already have.
It typically includes the initial consultation, concept development, vendor sourcing and management, the timeline, budget management, on-site production management and a wrap-up as agreed. We lead the planning, design and production from the first idea to the final breakdown, giving you one accountable point of contact throughout. A standalone service covers the deliverables agreed for that service.
For companies and organizations: conferences and summits, sales kickoffs, trade show booths, brand activations and product launches, galas and fundraisers, holiday parties, employee and client events, retreats, and public festivals. For private hosts: bar and bat mitzvahs, milestone birthdays, weddings and events at private homes. Guest counts run from dinners of 20 to productions of 1,000 and more.
As a starting point, allow around six months for most full-service events, and nine to twelve months for large productions, galas and ticketed events, subject to scope and availability. A shorter timeline can work after a feasibility review, usually with some flexibility on scope, vendors and decisions.
It starts with a brief discovery call, typically 15 to 30 minutes. If we're a good fit, you receive a custom proposal and a service agreement. For a full event, we then develop the concept and production plan, coordinate the vendors and rehearsals, and run the event day. A standalone service follows the steps agreed for that service.
Pricing follows the discovery call. You receive a custom proposal for the recommended scope, with line items, and the estimates are refined as details are confirmed. There are no markups on vendor costs; ask us to explain our fee and vendor costs in the proposal. Every event is scoped individually, because a dinner for 40 and a conference for 1,000 share almost no line items.
Yes. We can work with a venue or vendors you've already chosen, including brand-required partners and venue exclusives, and bring in specialist partners where there's a gap. We agree upfront who manages each vendor, so everyone works from the same plan and run of show.
It depends on the scale and complexity of the event. Smaller events typically run with two to four team members; larger productions add specialist roles, such as stage managers, technical directors and logistics coordinators. Breakdown is carried out mainly by the vendor teams, and breakdown responsibilities and any producer supervision are agreed in the scope.
Wrap-up is scoped to the engagement. It typically covers vendor settlements and budget reconciliation, as agreed, and we can join a debrief if you'd like one. Measuring results such as attendance, leads or funds raised stays with your own marketing, sales or finance team.
Yes. Our team is based in Los Angeles and works mainly across Southern California, and we produce events elsewhere in the U.S. and internationally, including destination events, depending on the scope. Work beyond Los Angeles includes production leadership for JFrog's swampUP stop in the San Diego area, as a subcontracted production partner, and AIR Security's booth at Black Hat.
