At many major shows, freight moves through the official service contractor, and labor, electrical and rigging are ordered through approved providers on their deadlines. The booth plan is built around those orders, not the other way round. Move-in windows are fixed Show management sets move-in and move-out to the hour, so drawings, show approvals and freight are locked well before the truck leaves Los Angeles. Resort ballrooms and the off-site night Sales kickoffs and client dinners usually live in resort ballrooms with in-house AV and catering rules, while the off-site night needs its own venue, transport and timing. We plan both as one run of show. Desert conditions Summer heat changes what works outdoors, from pool-deck receptions to arrival lines.
